Points to remember: • Mention the purpose of writing, date, time, venue, and any other relevant information—whom to contact, when, and where. • Use formal language in the third person form. • Write the notice in a box.

Method — the six parts of a notice, in order.

  1. Name of the organisation (the school), in capitals at the top.
  2. The word NOTICE, centred.
  3. The date of writing, on the left.
  4. A short heading that names the event.
  5. The body — one paragraph of three or four sentences carrying what, when, where, who may attend and whom to contact.
  6. The writer’s name, signature and class, at the bottom left.

INAUGURATION OF THE HERB GARDEN

The Nature Club is pleased to inform all students of Grades 6 to 8 that the school’s new Herb Garden will be inaugurated on Monday, 19 August 20XX at 9:00 a.m. in the courtyard behind the Science block. The garden has been planted with tulsi, mint, lemongrass, ajwain and curry leaf. Dr. Anjali Menon of the Botany Department, Rajasthan University, will be the chief guest and will speak briefly on the medicinal uses of common Indian herbs. Students who wish to join the Herb Garden care roster may give their names to the undersigned in Room 14 during the lunch break on or before 16 August.

Why a notice is written in the third person: A notice speaks for the institution, not for the writer. So it says “The Nature Club is pleased to inform…”, never “I am happy to tell you…”. Everything is in the passive or the third person, the tone is neutral, and nothing is left to be asked afterwards — a notice that makes a reader come and enquire has failed.
Tip: Keep the body to a single paragraph and give it no opinions. Check before you finish that a stranger could answer all five questions — what, when, where, who, and whom to contact — from the box alone.
